Context

An immigration law office supporting 30 international investors with annual tax filings — years of unbilled work spread across fragmented data sources.

Challenge

For years, the office had handled the annual tax filings of its international clients free of charge — a courtesy that had quietly grown into a serious administrative burden. Determining what each client owed meant connecting data from multiple sources: powers of attorney, tax authority records, previously owed amounts, and the office's own client lists and fee agreements. When the office decided to start charging for the service, 30 clients, some holding multiple investment assets and real estate, each needed a statement of their tax obligations and a corresponding payment request. Done by hand, that work would have landed on the administration on top of everything else and stretched collection out over months.

Approach

I built a custom information-extraction pipeline, starting with a secure file-sharing environment where clients and staff upload documents. OCR and named-entity recognition on Microsoft Foundry pull the relevant details from powers of attorney and contracts, scanned identity documents, and the tax authority's PDF assessments and debt notes, including obligations from previous years; the pipeline then reconciles the amounts owed across sources and enters the results into the office's existing ERP automatically: around 200 complete records, including family dependents, that would otherwise have been typed in by hand. From there it generates a per-client tax statement and prepares the email that requests payment of both the tax obligation and the office's professional fees. The customer support desk reviews every statement and email before anything goes out.

Results & impact

The pipeline entered around 200 records into the office's ERP automatically and produced accurate tax statements, payment requests and collection emails for 30 international investors. Six figures that had sat unbilled for years are now booked in accounts receivable, without the months of manual administration it would otherwise have taken.
